Matter and Project Management
Matteroom Prime provides a customized matter management solution to lawyers and legal partners. With matter centered, it includes Matter Management, Project Management, Time Management, Expense Management, Bill Management, Customer Management and KPI, etc. At the same time, Matteroom Prime can also connect with information management systems from leading industry, including iManage, Workshare, SharePoint, OneDrive, Office 365, and G Suite, which greatly improves the work efficiency of the lawyer team.
Main Modules:
Matter Management includes Matter creation, approval and relevant information management during the process of matter management.
Project management includes all work miletones and task processes in a matter project management.
Client management includes Client, Contact Person, Opposite Party, Engagement Entity basic information and Client relationship management.
Time management Using Timesheet record the working hours for the matter project anytime and anywhere, which can be directly integrated with the bill to facilitate.
Expense Management includes Matter items expense records and reimbursement, which can also control complex expense management process.
Billing Management includes the management of bills, collection records and invoices, combined with the timing function, which makes full-featured electronic billing possible in one platform.
KPI Management customized modules can be configured according to customer needs to provide more intuitive and flexible data reports.
Employee Management includes employee information view, edit, search and export, check and update employee information in time.
The following part is one module of Matteroom introduction, Matter and Project Management.
Matter
Lawyer workers can create, edit, search Matters in a quick way, they can also manage and check Matter’s process, assign tasks based on milestones.
New/Edit
Switch to Matter interface via click Matter Menu on the left, you can see Matter list matched for the conditions display on the right.
Click “Add” to create a new matter, fill in Client, Basic Matter and Participants info in the pop-up “New Matter” box according to the prompt as needed. Please pay more attention to the items with “*”, items with “*” are mandatory fields that needed.


Fill in Client name as below, if more than one client involved, please click “+” button, to add more clients.
Engagement Entity use “Same as Client” as default, you can also uncheck the box in front of “Same as Client”, then input corresponding info in the field.
Check the box in front of Foreign, if Foreign involved. Please describe matter using appropriate language in description box.
Settings for minimum billing increments are selected by default if this is set in the settings for timesheet.
You can also uncheck the box in front of “Settings” as needed.
Edit Matter Name, select appropriate Types, Industry of client, Charging Method as required.
Ref Matter ID You can add reference matter ID here to better check or manage the matter if matters
are recorded and managed in other platform.
Related Matter Click “+” button to add associated matter that created in Matteroom.
Add In-Charge, Co-Working, Client Mgmt, Billing Lawyer in Participants info part.
In-Charge is the lawyer who responsible for the matter
Co-Working is the lawyer who assists in handling the matter
Client Mgmt is the one who introduces the matter
Billing Lawyer is the lawyer who responsible for billing of the matter
Click “Save” button to save Matter in default Draft Status
Click “Submit” button to submit Matter to Submit Status






Note:
- Participants Only is visible by default, can also select Public option as needed
- It can be related to other Matter
- Support to add related attachments
Matter will be saved in Draft Status by default, it can also be reviewed and updated before submit.
Click matter (Draft) in matter list, then selected matter will open in another window, you can review matter info in Details Tab under specific matter. Swipe the cursor and click the pencil icon to update the field info. Click “Submit” button on the top-right side of the matter window, to submit matter to Submit Status. If there is lock iron , means this field could not updated, such as Client name
You can also click on the right of matter name to edit the matter in the form, then save directly.



Click “Save” button on the top-right of the matter window, matter is submitted with submit successfully”
Approval Process
In-Charge will receive notification after corresponding matter was submitted, then review matter in Details tab by click matter in the list.
Click Approve button, it will create a matter number automatically, matter will be approved after Confirm with “Successfully Approved”, status will be released to Active, which also updates in Status column in matter list.

Clone
Select “Clone” option in the drop-down list of the matter, to clone a matter quickly. Review and update
matter info in New Matter form as needed, then save or submit.


Close Matter
Click Close button on the right-top of the matter window, to close matter.

Deactivate Matter
Click Deactivate button on the top-right of matter window, to deactivate the matter. Click Confirm to deactivate the matter.
Matter status will update to Inactive.
Filter
Add Milestone/Task
Click “Create” iron to create Milestone in Milestone Tab, New Milestone will be created and display in the Milestone list. Click pencil icon to edit Milestone name, click default due date then select desired date in calendar.




Billing Information
Check and review Accrued Amount, Aged Balance, Budget Remaining info from Billing Tab.
For Accrued Amount part, you can also filter using default option “All” or “Approved Only”.



Matter Management KPI
Click the "Management Overview" button above the dashboard to enter the management overview page. This page is only visible to the management role, including working hours, Matters, billings and expenses.
